1. Who we are
AppealMate AI ("we", "us") operates the AppealMate AI website and service. We act as the data controller for personal data described in this notice.
2. What we collect and why
- Account data (email, login credentials, sign-in provider) — to create and secure your account. Legal basis: contract performance.
- Case content you submit (issue type, description, platform, country, optional name) — to generate your AI analysis and appeal materials. Legal basis: contract performance.
- Usage and device data (IP address, browser, pages visited, error logs) — to operate, secure and improve the Service. Legal basis: legitimate interests.
- Support messages — to respond to your enquiries. Legal basis: legitimate interests / contract performance.
- Subscription and payment metadata (Paddle customer ID, plan, status) — to provide and manage Pro access. Legal basis: contract performance and legal obligation. Full payment-card data is handled by Paddle and never reaches our servers.
3. Who we share data with
- Service providers: cloud hosting, database, analytics and email sending (acting as processors under instructions).
- AI model providers: case content you submit is processed by AI models to generate analyses and drafts. Inputs are not used to train public models.
- Paddle.com, our Merchant of Record, for sale of the product, subscription management, payments, tax compliance, fraud prevention and invoicing.
- Authorities, where required by law.
4. International transfers
Some of our providers are located outside your country. Where data is transferred internationally, we rely on appropriate safeguards (e.g. Standard Contractual Clauses or adequacy decisions).
5. Retention
We keep account and subscription data while your account exists and for as long as needed to meet legal, tax and accounting obligations. Case content is retained while your account is active and deleted or anonymised on request or when no longer needed.
6. Your rights
Subject to local law, you may request access to, correction or deletion of your personal data, restriction or objection to processing, portability of your data, and the right to withdraw consent. 7. Security
We use appropriate technical and organisational measures — including encryption in transit, access controls and role-based permissions — to protect personal data.
8. Cookies
We use a small number of strictly necessary cookies and local storage entries to keep you signed in and to remember basic preferences. We do not use advertising cookies.
